How to use Workspace Library to manage workspace assets
Use Workspace Library to store and manage reusable assets for your workspace, such as themes, templates, images, and custom fonts.
Before you start
- Workspace Library is available on the Pro and Business plans.
- Workspace Library assets can be used across boards in Team Space. Changes to a workspace asset may affect boards that use it.
- Only workspace admins and workspace editors can create, edit, rename, or delete assets in Workspace Library. Board editors can use and edit existing assets in boards they have access to, but need workspace editor permission to create new workspace assets.
What you can manage in Workspace Library
Workspace Library helps you manage shared workspace assets, including:
- Workspace Themes: Save and reuse brand colors, fonts, spacing, shadows, border radius, and other theme settings across boards.
- Workspace Templates: Save frequently used screens, sections, or components, so your team can reuse them in different boards.
- Workspace Images: Upload and reuse shared images across boards.
- Custom Fonts: Upload brand or client-specific fonts, so they can be used across your workspace.
How to access Workspace Library
- Open your workspace.
- From the left workspace panel, click Workspace Library.

- Choose the tab for the asset type you want to manage, such as Themes, Templates, Images, or Custom fonts.

Manage Workspace Themes
Use Workspace Themes to keep your team’s designs visually consistent across boards. In the Themes tab of your Workspace Library, you can:
- Create a new Workspace Theme

- Update an existing Workspace Theme.

To update an existing theme, open the theme’s More actions menu and choose one of the following options: - Edit theme: Update the theme settings.
- Rename: Change the theme name.
- Duplicate: Create a copy of the theme.
- Delete: Remove the theme from Workspace Library.
- Set as default: Make this the default theme for newly created boards in the workspace.
When you edit a Workspace Theme, the changes may apply to all boards using that theme, so make sure to review the updates before applying them.
Manage Workspace Templates
Use the Templates tab in your Workspace Library to access and manage saved screens, sections, or components that your team has saved for reuse.
From this tab, you can:
- View and search for saved workspace templates
- Rename templates or change the category to keep them easy to identify
- Delete templates that are no longer needed
To create, use, or edit a saved template, open the Saved Template Library while working in a board.
Manage Workspace Images
Use the Images tab in your Workspace Library to store images your team may need to use across different boards. From this tab, you can:
- Upload new workspace images in PNG, JPG, WebP, or SVG format
- View and search for uploaded images
- Rename images to keep them easy to identify
- Download images
- Remove images that are no longer needed
- Add images to favorites
To use a workspace image in your design, open the board and add the image from the Wireframe Library.
Manage Custom Fonts
Use the Custom Fonts tab in your Workspace Library to upload and manage fonts that are not available in Visily by default, so your team can use them across different boards. From this tab, you can:
- Upload new custom fonts in supported font formats, such as TTF, OTF, or WOFF
- View and search for uploaded fonts
- Delete fonts that are no longer needed
Make sure you have the right to use and upload any custom font files before adding them to Visily.
Note
- On the Pro plan, you can upload up to 5 Custom Fonts and create up to 2 Workspace Themes per workspace.
- On the Business plan, you can upload unlimited Custom Fonts and create unlimited Workspace Themes at the workspace level.
