Roles and Permissions in Visily
This article explains the roles available in Visily and what each role can do.
Before you start
Workspace members and guests have different scopes of access. Workspace members can access workspace content based on their role, while guests are limited to specific shared boards or folders.
Workspace roles
Workspace roles apply to members across the workspace. Workspace roles are best for core team members who need ongoing access to the entire workspace and regularly collaborate across multiple projects.
Roles | Definition | |
| The Workspace Owner has full control over the workspace, including ownership-level actions | Admin |
| Workspace Admins can manage workspace settings and access, including members, guests, teams, billing, subscriptions, license requests, and workspace security settings, depending on the plan | Admin |
| Workspace Editors can create and edit workspace content.
They can create boards and folders in Team Space, edit designs, use AI features, and invite members to the workspace.
| Can Edit |
| Workspace Viewers can access workspace content with view permission.
They can view, present, comment, and share content, but they cannot edit designs or use AI features. They can create boards and folders in their Private Space where available.

Guest permissions
Guests are users who are not workspace members but have access to specific boards or folders shared with them. Guest roles are best for clients, partners, or external collaborators who only need access to specific work, usually for short-term or focused collaboration.
Guest roles include:
- Guest Editor: Has Can Edit permission for the shared board or folder they are invited to.
- Guest Viewer: Has Can View permission for the shared board or folder they are invited to.
Guests are only available on paid plans.
Role limits across Visily Plans
Plan | Workspace members | Guests |
Starter
(Free plan)
| Up to 50 workspace members | Not support |
Pro & Business | - Unlimited workspace members - Each Workspace Owner, Workspace Admin, or Workspace Editor requires a license. | - Guest viewers: unlimited
- Guest editors: limited per workspace
- Workspace with 1-5 licenses: maximum guest editors = 5
- Workspace with 6 or more licenses: maximum guest editors = 2 x licenses
|
If you can’t invite or approve a guest editor, it means your plan has reached the guest editor limit. To resolve this, you can purchase additional licenses for more guest editor slots or invite those users as team editors instead.
