How permissions work in Visily

Permissions define what each person can access and do in Visily. They can apply at the workspace level or to specific boards and folders.

Before you start

Visily has two main user types:
  1. Workspace members: Users who belong to the workspace and have a role across the workspace.
  2. Guests: Users invited to specific boards or folders only. Guests are available on paid plans.

Where permissions apply

Permissions can apply in different places:
  1. Workspace: Controls what members can do across the workspace.
  2. Board: Controls access to a specific board.
  3. Folder: Controls access to a specific folder and the boards inside it.
A user’s access may vary depending on where they are working. For example, someone can be a Workspace Viewer but still have edit access to a specific board if that board is shared with them.

Permission levels

Visily uses three main permission levels:
  1. Can view: Lets users view, present, comment, and share designs, boards, or folders.
  2. Can edit: Lets users edit designs, use AI features, and create content where permitted.
  3. Admin: Lets users manage access and settings, depending on where the permission applies.

Permissions on Workspace level

These permissions below are available only to workspace members and are not granted to guests.

In Visily, permissions are granted through roles. A user’s role determines what they can access and what actions they can take in a workspace, board, or folder.
For more details about each role and what it can do, see Roles and Permissions in Visily.
Guests are users invited by email to specific boards or folders. They can access only the items shared with them.
People who open a board or folder through a public sharing link are not counted as guests unless they are invited by email, but a public-link viewers.

Permission requests

If a user only has Can view permission, they can request edit access. Users with the appropriate permission can review, approve, or deny these requests.
